Pup Tent Reporting, Requirements and Instructions

CCDB:  All checks for member transmittals, fines, donations, National Home Special Projects and others except where specifically instructed otherwise must be made payable to Grand of the Pacific and mailed to the Grand QM.  For Life Member applications in the Paddy Daddy a check for $20.00 payable to PT #8 for each applicant will be mailed to the CCDB, PT #8.  Any life memberships in the Paddy Daddy will be credited toward National Home Special Projects of the PT of the life applicant. Donations to the National Home Special Projects will be sent direct to the Grand QM.  Pup Tent audits must be sent to the Grand QM for quarters ending 30 June, 30 September, 31 December and 31 March. These audits must be in the hands of the grand QM no later than 30 days after the end of the quarter being audited. The completed and signed audits can be scanned and emailed to the grand QM who will send a copy to Supreme. The signed copy should be retained in PT files.  Email Quartermaster for mailing instructions.

AWARDS CHAIRMAN:  It shall be the responsibility of each Seam Squirrel to submit recommendations for special Grand Awards to be presented at the Grand Scratch. The recommendation will be submitted to the Grand awards Chairman on forms provided. All recommendations must be in the hands of the Grand awards Chairman no later than May 31. HUNGRY COOTIE - Hungry Cootie is responsible for maintaining a current list of names, addresses, telephone numbers and email addresses for all Pup Tent officers. He will publish a PT General order at the beginning of the term with this information and will email the General Order and subsequent changes there to immediately to the Grand Adjutant.

HISTORIAN - Each PT KCR (Historian) is responsible for gathering, recording and maintaining of PT historical information and providing such information as may be requested by the Grand Historian. PT historical records shall also be made available at the time of the PT inspection.

PT HOSPITAL CHAIRPERSON  - 

  1. Each Seam Squirrel shall appoint a PUP TENT HOSPITAL CHAIRMAN and inform the Grand Hospital Chairman at email: gpahosp@msn.com of the name and email address of that Chairman.
  2. The Pup Tent Chairman is to coordinate and encourage the Pup Tent members to take an active part in hospital visitations and hospital volunteer work.
  3. The following activities may be included in hospital visitations:
    1. Visits to hospitals, clinics, medical facilities and rehabilitation centers.
    2. Visits to homes of sick veterans or veteran families
    3. Attendance at funerals for deceased veterans. (Memorial services may not be counted as hospital visits).
    4. Donation of medical supplies and items such as glasses and crutches to veterans or families of veterans.
  4. PT Chairpersons will accept all report data when the Activity is performed during the current program year. Final Reports for the 2010-2011 term will Include all visitations through 30 June 2011 and reported to the Grand Chairman no later than 1 July 2011.
  5. The PT Chairperson will keep accurate records of all visits and donations relative to hospital work and record them on the monthly reporting forms provided by the Grand Chairman. The PT reports must include visitations made only during the current month being reported. The PT report must be emailed to the grand Chairman at gpahosp@msn.com no later than the first day of the month following the month being reported. If any visits during previous months were not reported, the PT Chairman can make a separate report for visits that were unreported in any previous month except that all such visits must be reported within 90 days of the actual visits.
  6. All hospital work must be reported within 90 days of the actual visits.
  7. The reporting workbooks that have been sent to each PT contain worksheets for each month from July 2009 through June 2010.
  8. Individual workers – The reporting workbooks contain a worksheet for reporting the number of visits by each participating cootie of your PT.

Form, Member C-2 card, approved application (for new members) and check covering the PCT, Admission (hat) fees and Extension fees. (Note: Supreme PCT $9.00, Grand PCT $7.00, Hat fees $30.00 Supreme Extension $1.00 and Grand Extension $1.00 - Supreme and Grand Extension for new members only). Applications for Life memberships should be transmitted separately and include Life Application and proper life fees.

RIM OF FIRE - All inputs for the Grand Rim of Fire are to be emailed to Grand Newshound, Rim of Fire editor. The ROF is published every quarter. In each issue reports are expected from the Chair Officers, QM/Membership, Judge Advocate, Chaplain, Surgeon, Supreme Council Member, Chief of Staff, Inspector, Hospital Chairman, Historian, VFW Booster Chairman, Awards Chairman, Web Hound, Randall Trust Fund Trustees. Each Pup Tent is requested to submit an entry for each issue outlining PT activities for the three month period. Past Grand Commanders are urged to submit "Word of Wisdom". Pup Tents or individual Cooties are encouraged to submit pictures that would be of interest to readers.
